The participation and contribution of students are important parts of Evaluation 2006. A number of student-oriented services and activities will be offered in conjunction with the Portland meeting.  PLEASE NOTE, we can no longer accept any more volunteer requests.

 

VOLUNTEERING OVERVIEW:  Volunteering at the conference is a great way to meet other student-colleagues as well as a range of conference attendees! By volunteering, you will be eligible to receive a free conference registration.  Volunteers are full-time students who assist in some way for approximately four hours at the conference. We cannot run our conference without volunteers and we are thankful to all of those who step forward. Volunteer slots will be filled on a first-come, first-served basis. We encourage you to sign up at your earliest convenience.

 
How do we say 'thank you' to Evaluation 2006 student volunteers?

2. FILLED/NO LONGER AVAILABLE... You may receive a discounted hotel room rate of $75.00US for a single/double room at the Hilton Portland (Main Building) - the conference headquarters hotel. This is a significant discount off of the $149.00US conference rate for the hotel (Space is limited, the rate will be applied when you check-out)

3. Send an email (indicate "volunteer" in subject line) to Heidi Nye in the AEA office at Heidi@eval.org  which MUST include:

A. At what college/university are you enrolled full-time?

B. Which you prefer... a "waived conference registration" OR a "discounted hotel room rate".

C. What are your first and second choice slots for volunteering (indicate the day, time, and position)?

D. What is your preferred orientation session if you are volunteering for a Tuesday through Saturday slot?  All students volunteering at any time or in any position Tuesday-Saturday MUST an orientation session prior to their slot.

4. Within two business days, Heidi will confirm your volunteer slot and provide you with information on how to register for free or secure your discounted hotel room. 

 

IMPORTANT: If you are requesting a "waived registration", Heidi will send you information about how to register for workshops, purchase tickets, etc. - Do NOT register and pay for conference registration itself. If you are requesting a "discounted room", Heidi will send you information about how to make your reservation through the hotel.

TYPES OF VOLUNTEERS: There are many ways to volunteer at Evaluation 2006. Please read the descriptions below to choose an opportunity that is a good match for your skills and interests.

Career Center: Volunteers at the career center welcome career center users, assist users with connecting to job seekers/employers, maintain the public materials, and oversee signup and participation in the career fair. 

 

Evaluation Assistants: Evaluation Assistants organize evaluation packets, distribute evaluation packets to workshops, pick up evaluation packets, organize evaluation forms, and/or collect data such as counts of roundtable attendees.

 

Event Assistants: Volunteer event assistants work with event coordinators to setup, coordinate, and breakdown key events during the conference.


Heathman Hotel Support:
 Volunteers will be stationed at the hotel lobby to provided assistance to conference attendees that need directions to sessions.

 

PowerPoint Specialist: This volunteer is an experienced developer of PowerPoint presentations including importing pictures and adding text. You will be asked to develop a PowerPoint presentation from pictures taken throughout the conference for presentation during Friday Night's silent auction.

 

Photographers: Photographers work in pairs during their shift - with one taking pictures and one recording names and getting permissions. One of each pair should have his/her own digital camera and appropriate storage media for use during the shift. Photographers should be comfortable enough with their cameras to obtain presentation-ready pictures of conference participants. 

 

Registration Desk: Volunteers at the registration desk welcome attendees, distribute nametags and packets, provide directions, and answer questions (orientation will provide you with what you need to know). Registration desk volunteers may also be asked to assist on the conference floor between sessions to provide directions and assistance to attendees.

 

Room Checkers: These volunteers assist with room checks on Wednesday, Thursday, Friday, and Saturday morning. Students will be provided with a list of the expected setup and Audio Visual in each room and will be asked to confirm those setups as well as to act as an information source for attendees during their shift. These volunteers work two short shifts from 6:30 am to 8:00 am on two consecutive days.

 

Setup: This group will be responsible for packet stuffing, nametag preparation, setup of the registration area, and last minute preparation for the conference as needed. Dress is casual and we all pitch in to get the work done and hopefully get out early!
