Who should attend?

This event is appropriate for beginning-level, intermediate-level, and advanced evaluators wishing to refresh their skills or investigate new topics. Additionally, consumers of evaluation such as funders, program administrators, and students in the social sciences wishing to explore an applied discipline with great employment potential. This event is appropriate for those working in a diversity of settings including government, public health, and philanthropy/non-profits.

Workshops

What if I just want to see the workshops but am not yet ready to register?

Review the workshops listed on the website. There, you will find the schedule, the list of presenters, workshop titles, and workshop descriptions.

Do I need to pre-register for workshops?

The Summer Evaluation Institute consists of scheduled workshops for which you must be pre-registered. For each training rotation, you will choose ONE specific workshop from the available choices in that timeslot. Note that many of the workshops are offered more than once. See the agenda for specifics. We ask that you please read the full workshop descriptions before making your selections to ensure the training workshops you choose are appropriate for your skill set. Each attendee reserves a seat in the specific workshop for which they have pre-registered. For this reason, moving from workshop to workshop and schedule changes cannot be accommodated onsite.

What if I want to change my schedule after I have registered?

If you need to make changes to your schedule after you have registered you may contact registration@eval.org before Monday, June 17, 2024, after you are fully registered and paid. We do not maintain waiting lists.

NOTE: Schedule changes cannot be accommodated after Monday, June 17, 2024, or onsite. Each session only has a specific number of seats available and prepared handouts based on pre-registration. If you have any questions or issues regarding this, please email registration@eval.org

What if I am closed out of a workshop?

It is important to complete your registration and payment as early as possible in order to ensure your first choice of workshops. This is a pre-pay event and the individual workshops you requested cannot be reserved or guaranteed until payment is received. Many of the workshops fill well in advance of the Summer Evaluation Institute and we do not maintain waiting lists. It will show as "Sold Out" on the registration site if the session if full. Please note each workshop is offered twice to maximize the possibility for attendees to register for their first choice of workshops. Be sure to check all times for a workshop that you want, but please be careful not to register for the same one twice. You can differentiate between workshop offerings by using the workshop ID numbers: the digits will be the same, but the offerings will be identified as "A" or "B" (i.e. Workshop 12 will be offered twice and listed in the program for June 27 as 12A, and on June 28 as 12B).

Can I switch workshops after I have already joined a session?

No, once you are attending a workshop, you cannot switch rooms to a different workshop.

Will there be a virtual component to Summer Evaluation Institute?

There is no virtual component planned at this time.

Registration and Payment

How and when do I pay?

Registration must be completed online through this website, regardless of how you pay. However, your registration is not official and space in sessions will not be reserved until you have paid. This is a pre-pay event!

Paying by credit card: This is the fastest option and will secure your space immediately upon receipt of a valid credit card number. We accept MasterCard, Visa, American Express, and Discover. Payment may be made by entering the card number directly into the secure registration form. If you are paying with your department's credit card, talk to your administrative staff in advance to get the necessary credit card information to input to the website or provide them with your course selections so they can register and pay for you.

If you are in a bureaucracy that requires that someone else provide the credit card number for your registration and the credit card is not available for your use to complete the transaction at this time, please select the "Bill Me" option. We will then have you in the system and in our pending files. You or your administrator may go into your registration and complete the registration with credit card payment. Please do so as soon as possible. Your sessions will NOT be held until the payment is received whether via credit card or via check.

Paying by check or wire/ACH: If you are paying by personal or company check, please submit a copy of your registration invoice with the check to the below address. All payments must be received prior to the Summer Evaluation Institute in order to attend. To ensure enough time for processing, please have all check payments mailed by Monday, May 27, 2024. Each check payment should include invoice numbers(s) and name(s) for the attendee for which the check is intended. Additional details are welcomed and encouraged. We are not able to accept any payments sent by FedEx or UPS, and registrants will not have access to the conference until payment is received and processed. Please do not mail checks directly to the AEA offices as this may result in further delay in processing your payment.

Attendees who wish to pay by wire/ACH should reach out directly to registration@eval.org for payment instructions. Each wire should include the invoice number(s) and name(s) for the attendee for which the wire is intended. Additional details are welcome and encouraged. Please note that wire/ACH payments that do not include the requested details will result in delayed payment approval and, thus, access to 2024 Summer Evaluation Institute. Once received, attendee(s) will receive a payment confirmation via email.

How do I get a receipt?

Once your payment is received, it will be processed in the AEA office and you will receive a receipt via email for the Summer Evaluation Institute. Please note it can take up to 3 business days to process your payment. You may also retrieve your balance due invoice from your AEA profile, under the “Purchases" tab.

What is included in the registration fee?

Registration includes four 3-hour training sessions chosen from the offerings in each timeslot, continental breakfast and lunch on each day of the institute. NOTE: the pre-Summer Evaluation Institute one day workshop offered on Wednesday, June 26, 2024 from 9:00 a.m. - 4:00 p.m. requires an additional registration fee.

What if I can't attend the entire event but would like to go for one or two days?

We welcome attendees for one, two, or all three days. However, there is only a single type of registration and it covers the entire event. We have worked to keep the registration fee low to make it accessible to all who wish to come.

What if I have to cancel?

To request a refund, you must contact AEA at registration@eval.org  with documentation of your reason for cancellation by Monday, June 3, 2024. All cancellation requests will be reviewed by AEA, and if approved, will be processed within three weeks of the original request. Refunds that are approved will be subject to a $50 cancellation fee. No Refunds will be accepted and all sales are final after June 3, 2024.

Substitutions of registrants can be made by Monday, June 17, 2024 without a fee, by contacting the registration team at registration@eval.org.

My organization requires a State Travel Order / Invitation Letter. How do I request one of these forms?

To assist employees of state governments and internationally in obtaining approval for training and travel, AEA can send an invitation letter to you via email. To request a letter, please send your name, title, agency, mailing address, and email address to the AEA office at info@eval.org. Please note, this letter does not register you for the Summer Evaluation Institute and you must be registered for the letter to be issued by AEA Staff. 

Health & Safety

What is AEA's COVID-19 policy?

The safety of attendees, speakers and staff remains our top priority. AEA is monitoring local health and public safety requirements and will follow all current recommendations and guidelines in place at the time of Summer Evaluation Institute as set forth by Washington D.C.

As we approach Summer Evaluation Institute, we will keep our community informed on any updates that we make to our health and safety guidelines.

AEA encourages the following safety protocols for all attendees, speakers, and exhibitors.

  • We recommend that all Summer Evaluation Institute participants are fully vaccinated against COVID-19. As defined by the CDC, fully vaccinated means that all vaccines—and boosters, for those who are eligible—are completed at least 14 days prior to the first day of Summer Evaluation Institute.
  • Wearing a well-fitted mask helps reduce the chance of spreading COVID-19 to fellow attendees and to those who work in the spaces where we convene. Masks are not required by law in Washington  D.C. Attendees can bring their own masks and we will have a limited supply for those who need them. 
  • We encourage all attendees to frequently wash their hands throughout the day, to avoid touching public surfaces as best as possible.
  • Hand sanitizer will be available throughout our venue for your convenience.
  • Session rooms and common areas will be regularly cleaned and sanitized.
  • Hilton hotels worldwide continue to take precautionary measures in an effort to give guests, peace of mind.
  • If you are feeling sick or have any COVID-19 symptoms, we ask that you notify a staff member and do not contribute to the day’s events until you have tested negative for COVID-19. We will provide a list of nearby COVID-19 testing centers.
  • If you test positive for COVID-19 within days of attending the event, we encourage you not to attend in person. We will offer a full refund if you cancel due to COVID-19 and will waive the cancellation fee.
  • As we approach Summer Evaluation Institute, preventative health measures are subject to change. Details of any necessary measures will be communicated as early as possible and will be shared directly with registrants via email, the AEA website, and social media channels. By attending AEA’s Summer Evaluation Institute, you voluntarily assume all risks related to exposure to COVID-19.

When it comes to live events, we all need to make our own decisions regarding attending based on individual health and safety, personal values, financial and other considerations. AEA respects the decision of any Summer Evaluation Institute attendee not to participate.
